1. Who we are

We're H E Tyres Ltd — a family-run tyre fitting business based in Swindon. We offer mobile tyre fitting across the local area and a depot service at Unit 5 Star West, Westmead Drive, Westlea, Swindon SN5 7SW.

For the purposes of UK data protection law, H E Tyres Ltd is the data controller for personal information collected through this website. That means we decide what we collect and why, and we're responsible for keeping it safe.

2. What we collect and why

We only collect information that helps us do the job — giving you a quote, booking your appointment, or getting your tyres fitted. Here's what we collect and the reason for it.

2a. Enquiry form

When you fill in the "Mobile fitting or other enquiry" form on our site, we collect:

We collect this information to respond to your enquiry and provide the service you've asked about. The legal basis is legitimate interests — both yours (getting a quick, useful response) and ours (running our business).

Your enquiry is sent to us by email. We don't store it in a separate database — it lives in our inbox and is deleted when the conversation is complete or when it's no longer needed.

2b. Depot booking

When you book a depot slot through the booking calendar on our site, we collect:

  • Your name
  • Your email address
  • Your phone number
  • Your chosen date and time slot
  • Any notes you add (such as the job or access requirements)
  • Your vehicle registration (if you choose to provide it)

We collect this so we can confirm your appointment, prepare for your visit, and send you a calendar invite and reminder. The legal basis is contract — this information is necessary to book and carry out the appointment you've requested.

Booking records are stored securely in a Cloudflare database. We keep completed booking records for up to 12 months, then delete them.

You'll receive a confirmation email when you book and a notification if anything changes. You can cancel your appointment at any time using the link in your confirmation email.

2c. Vehicle registration lookup (enquiry form)

If you enter a vehicle registration number in the enquiry form and click "Look up", your registration is sent to RegCheck (regcheck.org.uk), a UK vehicle data service. RegCheck returns your vehicle's make, model, colour, year and fuel type.

We use this to pre-fill your tyre size where possible and to include the vehicle details in your enquiry so we can quote accurately. The registration and the details returned are included in the enquiry email sent to us — they're not stored separately.

The legal basis is legitimate interests — using your reg to get your vehicle details saves both parties time and reduces quoting errors. Using the lookup is optional; you can leave the registration field blank or type it in without clicking "Look up".

2d. Interactive maps

Our site includes two interactive maps — one showing our coverage area and one showing directions to the depot. These maps use Stadia Maps for the map tiles (the background images that make up the map). When the maps load, your browser makes a request to Stadia Maps' servers, which means your IP address is sent to them as part of that request.

We don't deliberately share any personal information with Stadia Maps — an IP address is sent as a side effect of how the web works. The maps only load when you scroll down to them. Stadia Maps' privacy policy is at stadiamaps.com/privacy-policy.

2e. Analytics cookies (opt-in)

We use Google Analytics to understand how people find and use our website — for example, which pages are most visited and where visitors come from. This helps us improve the site.

Google Analytics is switched off by default. It only activates if you choose "Accept all" on the cookie banner when you first visit. If you decline, no analytics data is collected at all.

If you accept, Google Analytics sets cookies on your device and collects anonymised information such as pages visited, time spent, and a rough geographic area (city level). Your IP address is anonymised. No information that identifies you personally is shared with Google.

The legal basis is consent — you can withdraw your consent at any time by clicking "Manage cookie preferences" in the footer, or by clearing your cookies.

3. Who receives your information

We don't sell, rent or share your information with any marketing companies or third parties who would use it for their own purposes. Here are the organisations that handle your data on our behalf:

Apple iCloud Mail (Apple Inc.) Delivers enquiry emails and booking notifications to us. Email content passes through Apple's mail servers in transit — they don't read or retain it for their own purposes.
NeoBookworm (the company that built and hosts this site) Provides the website and booking system on our behalf. Enquiry emails are forwarded through their infrastructure before reaching us. They don't use your data for any purpose other than making the site work for us.
Cloudflare, Inc. Hosts the booking widget and stores booking records in a Cloudflare database. Cloudflare is based in the US and operates under a data processing agreement; your data is protected under the UK–US data bridge framework.
Google LLC Receives booking details to create calendar events (so we don't miss your appointment). If you've accepted analytics cookies, Google Analytics also receives anonymised usage data.
RegCheck (regcheck.org.uk) Receives your vehicle registration number when you use the "Look up" button in the enquiry form. Returns vehicle details only — doesn't store your enquiry or contact details.
Stadia Maps Serves the background map images when the maps on this page load. Receives your IP address as part of normal web requests.

4. How long we keep your information

5. Your rights

Under UK GDPR and the Data Protection Act 2018, you have a number of rights over your personal information:

Access

You can ask us for a copy of any personal information we hold about you.

Correction

You can ask us to correct any information we have that's wrong or out of date.

Deletion

You can ask us to delete your information in certain circumstances — for example, if you've withdrawn consent or we no longer need it.

Objection

You can object to us using your information where the legal basis is legitimate interests. We'll stop unless we have a compelling reason to continue.

Restriction

You can ask us to limit how we use your information while a dispute is resolved.

Withdraw consent

Where we rely on your consent (analytics cookies), you can withdraw it at any time. This doesn't affect anything that's already happened.

To exercise any of these rights, contact us using the details in section 6. We'll respond within one month.

If you're not happy with how we handle your request — or with our use of your data generally — you have the right to complain to the Information Commissioner's Office (ICO). You can contact them at ico.org.uk or on 0303 123 1113. We'd always prefer to hear from you first so we can try to resolve things directly.

6. Cookies

Cookies are small text files stored on your device when you visit a website. We use two types:

  • Essential cookies — these are needed for the site to work correctly (for example, remembering your cookie preference). You can't turn these off, but they don't track you.
  • Analytics cookies — Google Analytics cookies (_ga, _ga_*). These are switched off by default and only set if you actively choose to accept them.

You can manage or change your cookie preference at any time by clicking "Manage cookie preferences" in the site footer.

You can also delete cookies at any time through your browser settings. Most browsers let you block or delete cookies — check your browser's help pages for instructions.

We aim to respond to all privacy queries within 5 working days, and to any formal rights requests within one month as required by law.

8. Changes to this policy

We'll update this policy if we change how we collect or use your information. The "Last reviewed" date at the top will always show when it was last updated. If the changes are significant, we'll make them easy to spot. Using the site after any update means you're aware of the current policy.
